Bookkeeper & Administrative Assistant

We’re looking for a detail-oriented Bookkeeper & Administrative Assistant to manage bookkeeping for a small client portfolio, assist with VAT returns, and support firm administration. This role includes client onboarding, compliance checks, and preparation for Making Tax Digital for Income Tax (MTD-ITSA). Proficiencies

  • Xero and QuickBooks

  • MS Excel

  • MS Outlook

  • Microsoft 365

  • Fundamental knowledge of bookkeeping

  • Knowledge of UK VAT

  • Ability to communicate concisely, verbally and in writing, in English

  • Strong time management skills, with the ability to prioritize urgent tasks efficiently

  • Ability to learn new skills, maintain knowledge, and acquire new information—essential for keeping up with changes to taxation regulations (with provided external and in-house training)

Job requirements

Bookkeeping:

o Weekly bookkeeping for a small portfolio of clients which will involve entering

purchase and sales invoices into Xero, performing bank reconciliations and

month-end debtor/creditor checks

o Posting of journal entries

o Assisting Partners with book-keeping for preparation of accounts

o Preparation of VAT returns for Partner review

  • Administrative tasks for the firm:

o Completing Client Onboarding procedures and recording of those procedures

on BrightManager

o Preparation of Letters of Engagements (LoE)

o Checking Client Anti-Money Laundering documentation is up to date and

carrying out AML checks (training will be given for this process)

o Registering clients for Self-Assessment, VAT, PAYE, Capitals Gains (digital

authorisations) and Trust Registration (training will be given for this

process)

o Checking client authorisations exist, preparing and sending 64-8 forms where

missing, completing digital authorisations (training will be given for this

process)

o Filing documents such as registration forms, 64-8 forms, authorisation

confirmations, signed LoE, forms completed

o Other administrative tasks requested by the Partners from time to time

  • Making Tax Digital for Income Tax (MTD-ITSA)

o Preparing list of clients affected in the build-up to this date (6 th April 2025)

o Supporting clients with registration for MTD-ITSA

o Preparation and submission of quarterly filings for MTD for ITSA
